How to Create and Manage Recurring Services Products

Overview

Recurring Services Products are used in the Recurring Billing functionality via Sales Contracts and can either be applied to the Sales Contract as a contract wide charge or associated with the Covered Device (Shipped Item Warranty) for periodic billing. The association can be general or specific (all Covered Device records associated with the Contract, for a particular Product or Item, or individually by Item-Serial).

An example of a Recurring Service Charge would be a Monthly Rental charge. Once added to the Sales Contract or Shipped Item Warranty, the charges configured on the Recurring Services Product would be captured in the Recurring Billing run and invoiced accordingly.

Once a Recurring Services Product is created, it can be associated with other Rootstock Products. This is achieved by attaching the Recurring Services Product to other Products (ie Serialised Hardware item) via the Associated Recurring Services Products function (Lead Time & Misc Tab) on the Serialised Hardware Product Master record. This process ensures that when the Covered Device/Shipped Item Warranty record is created for the Serialised Hardware item, the Recurring Services Product is added to the Sales Contract by default.

Creation of Services or Products that are used in the Recurring Billing functionality. The Recurring Billing Products can be added directly to a Sales Contract or associated with another Product for use in the Recurring Billing process.

Processing
  1. Refer to the Products and in particular Product Master Lead Time & Misc Tab documentation to gain familiarity with creating and managing Products in Rootstock.
  2. Click New Rootstock Product Master button.
  3. Select the appropriate Recurring Service Product Group.
  4. Set the Product Type to Recurring Service.
  5. Amend the Product Master and Tabs as required.
  6. Save.
If associating the Recurring Service to another Product Master record:
  1. Navigate to the Product Master record (i.e. Serialised Product Master record) that the Recurring Service Product will be associated to.
  2. Open the Lead Time & Misc tab.
  3. Ensure the Contract Recurring Service Required field is checked True.
  4. Click on Associated Recurring Services Products.
  5. Add Recurring Services Products as required and Save.
