Overview
The MRP Action Message Search displays Action Messages relative to an exception to the optimized MRP Plan. Action Messages direct the planner to conditions related to dates (Reschedule In / Out) and quantities (Excess).
Application
Managing Action Messages is an important element in creating a material plan that satisfies demand and controls inventory levels. Orders that create action messages must be investigated or the exception condition will continue to exist and will eventually manifest itself as a shortage, late availability, or excess inventory. A filter is available to search for action messages related to a specific planner and / or project. Output is in the form of an Excel spreadsheet.

O - Reschedule Out: the due date of the supply order is earlier than the required date of the demand order. Consider “moving out (changing)” the supply order date to be just prior to or the demand order date.

I - Reschedule In: the due date of the supply order is later than the required date of the demand order. Consider “moving in (changing)” the supply date to be just prior to the demand order date.

E - Excess Inventory: there is no demand requirement for this supply order. Actions taken could be 1). Change the supply order date to be further into the future. 2). Cancel the supply order for this item.
Using MRP Action Messages
Action messages indicate there is an imbalance between the demand requirement and the supply requirements. A suggested approach to using the data in the action message table is to begin with the messages that could impact on-time shipments, which would be the “I-Reschedule In” messages. Then review the “O-Reschedule Out” messages, and finally work the “E-Excess Inventory” messages. Additionally, as maintaining the demand dates for end items (items shipped to customer) will have an impact on the demand of all lower level components in the end items bill of material, first review exception messages for these end level items.
Work with both the action message report and the “Detailed Review by Item” screen. First identify items with an action message of “I”. Access the “Detailed Review by Item” screen and enter the item. Use the order number shown on the Items Action Message, identify the line with the order number and review to understand what has caused MRP to calculate an action message. Then, as appropriate:

Either maintain the demand order’s date to coincide with the supply date, or

determine if the supply date can be changed to match the demand date by contacting the vendor or the manufacturing shop floor.
When the revised supply date is agreed upon, maintain the supply order with the renegotiated date. In the instance of a negotiated date, both the demand order and supply order date may require date maintenance. After reviewing all the “I” messages, use the same steps as above, review the “O” messages and the “E” messages. The “O” message indicate that the supply order is needed but it is arriving to soon, that is the supply order date is earlier than the demand order date and the item will be in inventory for an unnecessary period time before being consumed. In “O” message, the supply order date should be maintained to agree with demand order date. And as with the “I” messages, this may require negotiations with the vendor or the shop floor. The “E” messages indicate that excessive inventory will be incurred as a result of the demand orders and the supply orders. Actions taken for “E” messages are to either maintain the supply order to a lower quantity or cancel the supply order. Note that there may be valid reasons why an error message is generated. For example, purchasing may have been informed that there is a customer order not entered into Rootstock for a component which has a long lead time and purchasing must immediately put this component item on order. Purchasing creates a purchase order for the item. At next MRP run, if the customer order has not yet been entered, there will be an “E-Excess Inventory” message for this component as there is no demand.
Search Filters
Use any combination of filters applicable to narrow down your search, and to limit the number or records returned. If too many records are returned that exceed governance limits, a message will be received to further limit the said search.
