Processing RMA Receipts

 Overview

This article will explain how to use the two methods available to do RMA Receipts:

  1. Using RMA Detail Mass Receipt button on RMA Header
  2. Using Process Receipt button on RMA Detail


The processing of RMA receipts will vary depending on the controls set on the item, including:

  1. If the item is non-Lot or non-Serial Controlled

  2. If the item is only Serial Controlled

  3. If the item is only Lot Controlled

  4. If the item is both Lot and Serial Controlled.


IMPORTANT image.png  IMPORTANT  If the Item is both Lot and Serial Controlled, the user only needs to specify the Serial Numbers. The system will automatically derive the Lot Number from the 'Lot Number' field on the associated Inventory Item by Serial Number record.

Prerequisites
 

  • RMA Detail must be status released.

  • If the Item associated with the Product is serial controlled, the serial numbers must be authorized before performing the RMA Receipt.

Processing

1. Using RMA Detail Mass Receipt button on RMA Header

Navigation

RMA Header > RMA Detail Mass Receipt button

Fields
 

Line:  This is the RMA Detail sequence number.

Product:  This is the Rootstock Product for this RMA Detail.

Qty Authorized:  This is the quantity authorized to be received for this RMA Detail.

Qty Pending:  This is the quantity waiting to be received for this RMA Detail.

Qty to Process:  This is the quantity being received in this RMA Receipt.


NOTE image.png  NOTE  Qty to Process defaults to the total RMA Detail quantity, but can be overridden.


Destination:  This is the type of Location to which the RMA is being received. Options are:

  • Inventory
  • Inspection


Location ID:  This is the Inventory Location ID to which the RMA is being received.

Location Number:  This is the Inventory Location Number to which the RMA is being received.

NOTE image.png  NOTE  The 'Location ID' and 'Location Number' fields are populated from RMA Detail based on the 'Destination' selected but can be overridden.

Component Item:  This is the Inventory Item associated with the Product.

Receipt Qty / Serials Numbers:  This displays the quantity being received. If the Component Item is Serial tracked, this displays the authorized serials, and the user can enter the serial manually using the Manual Serial Entry button.

Lot Number:  If the Component Item is Lot tracked, the user must enter the Lot Number unless the item is both Lot and Serial controlled.  In that case, only the Serial numbers are entered..

Transaction Date:  This is the date on which the RMA is being received.


NOTE image.png  NOTE  This field is visible only when the flag 'Allow Date Override to RMA Transactions' is checked on Cost Accounting Control Record.


Processing RMA Mass Receipt

Steps
 

  • Enter the quantity being received in 'Qty to Process'.
NOTE image.png  NOTE  The 'Qty to Process' defaults to the total RMA Detail Quantity, but it can be overridden for partial receipts. The quantity being received can not exceed the RMA Detail Quantity.  
  • Select the Destination as desired.
  • Specify the Location ID and Location Number.

NOTE image.png  NOTE  The 'Location ID' and 'Location Number' fields default from RMA Detail based on the 'Destination' selected, but can be overridden.

  • If the Component Item is Serial tracked, enter the actual Serial Number(s) being received; two methods can be used:
    • Manual Entry:  Click the Manual Serial Entry button to open a pop-up for entering the serial number(s).
    • Select From List:  Highlight desired Serial Number(s). Use the Control key to select multiple non-consecutive Serial Numbers or the Shift key to select multiple consecutive Serial Numbers.
  • If the Component item is Lot tracked, enter the Lot No to be received.
    • If the RMA Detail was created from a Shipper or Invoice, it must be a Lot No that shipped on that shipment.
    • If the RMA Detail was NOT created from a Shipper or Invoice, it must be a valid Lot Number.

NOTE image.png  NOTE  Only one lot can be received per RMA Receipt. If the original shipment was shipped from multiple lots and multiple lots are being returned, each must be received separately.

  • Set the 'Transaction Date'.

NOTE image.png  NOTE  The 'Transaction Date' defaults to the date the receipt is entered, but it can be overridden to set a past date for backdating the RMA Receipt(s).

  • Select the Line(s) to be received and click the Receive Selected Lines button to execute the RMA Receipt transaction.


2. Using Process Receipt button on RMA Detail

RMA Detail > Process Receipt button

Fields
 

To Inventory:  When checked, RMA Receipt will be made to the Inventory Location identified on the RMA Detail for the RMA being received.

To Inspection:  When checked, RMA Receipt will be made to the Inspection Location identified on the RMA Detail for the RMA being received.


NOTE image.png  NOTE  An Inspection Order will be created using the Inspection Order Template (if specified) on the RMA Detail.


Qty to Process:  The quantity being received in this RMA Receipt. While the quantity can be less than authorized, it can not be more.  In order to receive more than authorized, edit the RMA Detail quantity to reflect the new quantity to be received first.


NOTE image.png  NOTE  This defaults to the total RMA Detail quantity, but can be overridden.  You can not receive more than the RMA Detail quantity.


Inventory Division:  This is the Inventory Division associated with the RMA Detail for the RMA being received.

Receive To Site:  This is the Site to which the RMA is being received.

Project:  This is the Project associated with the RMA Detail for the RMA being received.

Location ID:  This is the Inventory Location ID to which the RMA is being received.

Location Number:  This is the Inventory Location Number to which the RMA is being received.

NOTE image.png  NOTE  The 'Location ID' and 'Location Number' fields are populated from RMA Detail when any flag 'To Inventory' or 'To Inspection' is checked.  In that case, it cannot be overridden.

Transaction Date:  This is the date on which the RMA is being received.


NOTE image.png  NOTE  This field is visible when the flag 'Allow Date Override to RMA Transactions' is checked on Cost Accounting Control Record.


Txn Comments:  This field allows users to add transaction comments to the RMA Receipt and will be updated on the Inventory Cost Transaction record created.

Location Comments:  This field allows the user to add location comments to the RMA Receipt and will be updated on the Inventory Item by Location record created.


Processing RMA Receipts

i. If the item is non-Lot or non-Serial Controlled

Steps
 

  • Check either of the flags 'To Inventory' or 'To Inspection' as desired.

  • Enter the quantity in 'Qty to Process'.

  • Set the 'Transaction Date'.

  • Optionally, enter any comments in 'Txn Comments' and/or 'Location Comments'.

  • Click the Process Receipt button to execute the RMA Receipt transaction.


ii. If the item is Serialized

Steps
 

  • Check either of the flags 'To Inventory' or 'To Inspection' as desired.

  • Then, enter the quantity in 'Qty to Process'.

  • Set the 'Transaction Date'.

  • Optionally, enter any comments in 'Txn Comments' and/or 'Location Comments'.

iii. If the item is a Lot Controlled Item

Steps
 

  • Check either of the flags 'To Inventory' and 'To Inspection' as desired.

  • Then, enter the quantity in 'Qty to Process'.

  • Set the 'Transaction Date'.

  • Optionally, enter any comments in 'Txn Comments' and/or 'Location Comments'.

  • Enter the Lot No to be received.

    • If the RMA Detail was created from a Shipper or Invoice, the Lot No. must be a Lot that shipped on that shipper.

    • If the RMA Detail was NOT created from a Shipper or Invoice, it must be a valid Lot Number.

  • Click the Process Receipt button to execute the RMA receipt transaction.
