Overview
A Sales Contract is an agreement between two or more parties for products and services. In Rootstock, Sales Contracts can manage various services normally associated with Recurring Billing, Contract Charges, and Entitlements.
Applications
Sales Contracts in Rootstock can manage key functions such as:
-
Product Sales: Track and control Products purchased during the term of a Contract with contract-specific pricing if required. Sales Orders can be generated directly from the Contract - or added through Sales Order Entry and associated with the Contract. As the Sales Orders are fulfilled following the pricing determined on the Contract, serialized products and product components are linked to the Contract in addition to sales volume tracking if required.
-
Recurring Billing: Automate Contract-related Billing by creating Recurring Service Products with all the power and versatility of the Rootstock Products and Pricing functionality.
-
Recurring Services Products can also be associated with the Covered Device (Shipped Item Warranty) associated with the Contract for periodic billing. The association can be general or specific (all Covered Devices (Shipped Item Warranty) records associated with the Contract, for a particular Product or Item, or individually by Item-Serial).
-
Recurring Services Charges can be processed at user-defined intervals (monthly/quarterly/semi-annual, or annual), generating detailed service billings.
-
The billing process can be run as frequently as desired, with each Contract only processed when appropriate.
-
Service Billing eligibility is defined at the Individual serialized item, and items can be put on permanent or temporary hold (with start and stop dates). Refer to the Warranty Management and Recurring Billing Overview documentation for more information on Warranty tracking and Recurring Billing functionality.
Recurring Services are always associated with a Sales Order through the Contract. Recurring Services can not be added directly to a Sales Order.
-
Contract Charges: Miscellaneous (one-time) charges can be created and included in the recurring billing runs. They can be Contract-general or Item-specific and scheduled to be picked up on a future date. After each Billing run, the results can be viewed, edited (audited), and approved prior to being sent to the Rootstock Sales Invoice system.
-
Entitlements: Entitlements are Products or Services provided at a reduced price or for free and are normally associated with serviceable Products sold via the Contract. Entitlements Products are created and then associated with other Products deployed to a Customer with entitlement limits if required. They are always associated with a Sales Order through a Contract.
-
Sales Contracts can also reference a Master Services Agreement (tailored to the specific customer as desired via a Customer MSA) and, therefore, inherit a set of Terms and Conditions that can be adjusted at the Contract level.
