Overview

The Project Workbench is the focal point for Project-related information, providing a real-time snapshot summary of all project data. This includes Budget, Actual, and Variance values for Revenue, Total Costs, Material, Labor, Overhead, Subcontract and ODC amounts. The user can mouse over the links for Revenue, Overhead, Subcontract, or Other Direct and see a hover window breaking out the different categories, which are summarized in the on-screen total. There is also a link titled ‘Edit Budget Details’, which will take the user to the Project Budget/Cost function, where Budget amounts can be edited.

Application

As the Project Workbench is the focal point of the project information, numerous groups within the organization will use the workbench as their source of project information.
 

  • Project Manager:  The project manager uses the project workbench to review and analyze the overall project from both operational and budget to actual perspectives. The project manager may use the presented data to conduct project status meetings. 

  • Purchasing Group:  The purchasing group uses it to view the status of the project’s purchasing activities, both requisitions to be placed and purchase orders and inventory status.

  • Planner:  The planner uses the workbench to view the status of project-specific work orders and inventory and incoming supply orders (Requisitions and Purchase Orders), which will satisfy production shortages.

  • Sales:  The sales group can review the entry and shipped status of the sales order items. The sales group can also review forecasts for the project’s items. 

  • Finance:  The finance group can review and analyze the overall project from both operational and budget to actual perspectives. Also, as the project workbench provides access to all project-related transactions, it is a source for project auditing.

The project workbench also provides a 'Drilldown' capability to view all the detailed records supporting the summary values displayed on the page. Some details are accessed using hyperlinks. These are the 'Overhead', 'Subcontract', and 'Other Direct'.

Some details are accessed using the 'Inventory, Orders and Transactions' bar.  Clicking on the arrow Related List Tabs will display, which opens additional tabs on the lower portion of the page for the various types of detail records. (The Tabs are: Inventory, Requisitions, Purchase Orders, Work Orders, Sales Orders, Forecasts, and all Inventories, Labor, and other transactions associated with the project).

Edit Budget Detail: This link will take the user to the Project Budget/Cost function for this Project (See Project Budget/Cost).
 

The Cost Summary presented by Rows:

Revenue (Row):  This row displays summary values for the Total Revenue of the Project for both the “Actual to Date” and “Budget” numbers. The “Budget” value is the sum of all Budgeted Cost details for this Project, defined in the Project Budget/Cost function. The “Actual” value is the sum of all the actual revenue events (Sales Orders for Products and Services) booked to this point for the Project. The Project Budget/Cost function also displays these same actual values.

Total Costs (Row):  This row displays summary values for the Total Costs of the Project for both the “Actual to Date” and “Budget” numbers. The “Budget” value is the sum of all Budgeted Cost details for this Project which were defined in the Project Budget/Cost function. The “Actual” value is the sum of all the actual costs incurred for the Project. The Project Budget/Cost function also displays these same actual values.

Material (Row):  This row displays summary values for the Total Material Costs of the Project for both the “Actual to Date” and “Budget” numbers. The “Budget” value is the sum of all Budgeted Material Cost details for this Project, defined in the Project Budget/Cost function. The “Actual” value is the sum of all the actual material costs incurred to this point for the Project. The Project Budget/Cost function also displays these same actual values.

Labor (Row):  This row displays summary values for the Total Labor Costs of the Project for both the “Actual to Date” and “Budget” numbers. The “Budget” value is the sum of all Budgeted Labor Cost details for this Project, defined in the Project Budget/Cost function. The “Actual” value is the sum of all the actual labor costs incurred to this point for the Project. The Project Budget/Cost function also displays these same actual values.

Overhead (Row) (Hyperlink)

This row displays summary values for the Total Overhead Costs of the Project for both the “Actual to Date” and “Budget” numbers. The “Budget” value is the sum of all Budgeted Overhead Cost details for this Project, defined in the Project Budget/Cost function. The “Actual” value is the sum of all the actual overhead costs incurred to this point for the Project. The Project Budget/Cost function also displays these same actual values. Hovering the mouse over the link will open a hover window, as shown below, which breaks out the “Total” overhead amounts into the underlying Material Overhead, Labor Overhead, Fringe, and Machine Overhead amounts.

Subcontract (Row) (Hyperlink)

This row displays summary values for the Total Subcontract Costs of the Project for both the “Actual to Date” and “Budget” numbers. The “Budget” value is the sum of all Budgeted Subcontract Cost details for this Project, defined in the Project Budget/Cost function. The “Actual” value is the sum of all the actual subcontract costs incurred to this point for the Project. The Project Budget/Cost function also displays these same actual values. Hovering the mouse over the link will open a hover window, as shown below, which breaks out the “Total” subcontract amounts into the underlying Subcontract Material and Subcontract Labor amounts.

Other Direct (Row) (Hyperlink)

This row displays summary values for the Total ODC (Other Direct Charges) Costs of the Project for both the “Actual to Date” and “Budget” numbers. The “Budget” value is the sum of all Budgeted ODC Cost details for this Project, defined in the Project Budget/Cost function. The “Actual” value is the sum of all the actual ODC costs incurred to this point for the Project. The Project Budget/Cost function also displays these same actual values. Hovering the mouse over the link will open a hover window, as shown below, which breaks out the “Total” ODC amounts into the underlying Indirect ODC, Misc ODC, Service ODC, and Travel ODC amounts.


Inventory, Orders, and Transactions Related List

The Inventory, Orders, and Transactions Related List function presents multiple tabs containing the underlying detail records supporting the summary section of the Project Workbench. The tabs are: Inventory, Requisitions, Purchase Orders, Work Orders, Sales Orders, Sales Invoices, Forecasts, Inventory Transactions, Other Transactions, and a Notes & Attachments function.

Inventory Tab

This tab displays a detailed list of all on-hand inventory for the Project. The list contains the Item Number, Qty On Hand, Qty On Hold (Non-Nettable), Unit Cost, Value (Extended Cost), and Inventory Account for each Item Number currently in Inventory for the Project. Each detail line has a ‘View’ link in the first column, which will take the user to the detail record for the selected row.

Requisitions Tab

This tab displays a detailed list of all PO Requisitions for the Project. The list contains the Requisition Number (Req No), Item Number (Item No), Requisition Status (Status), Release Date, Responsible Planner (Planner), Original Requisition Quantity (Order Qty), Quantity already converted to a PO (Converted Qty), and the Quantity remaining to be converted to a PO (Remaining Qty). Each detail line has both ‘Edit’ and ‘View’ links in the first column, which will take the user to the detail requisition record, either in View or Edit mode, for the selected row.

Purchase Orders Tab

This tab displays a detailed list of all Purchase Orders for the Project. The list contains the Purchase Order Number (Order No), PO Line (Line), Item Number (Item), PO Dock Date - (Dock Date), PO Vendor (Vendor), PO Quantity (Order Qty), Quantity Received (Received), and PO Place Date (Place Date). Each detail line has a ‘View’ link in the first column, which will take the user to the detail record for the selected row.

Work Orders Tab

This tab displays a detailed list of all Work Orders for the Project. The list contains the Work Order Number (Order No), Item Number (Item), Work Order Status (Status), Scheduled Work Order Release Date (Release Date), Responsible Planner (Planner), WO Quantity (Order Qty), Quantity Accepted (Accept Qty), Rejected Quantity (Reject Qty), Quantity Remaining to complete (WIP Qty). Each detail line has a ‘View’ link in the first column, which will take the user to the detail record for the selected row.

Sales Orders Tab

This tab displays a detailed list of all Sales Orders for the Project. The list contains the Customer, Sales Order Number (Order Number), Sales Order Line (Line), Product Number (Product), Sales Order Due Date (Due Date), Sales Order Line Unit Price (Price), Sales Order Line Quantity Ordered (Qty Ordered), Sales Order Line Quantity Shipped (Qty Shipped), Sales Order Line Extended Price (Booked Amount), and Sales Order Line Shipped Amount (Shipped Amt). Each detail line has a ‘View’ link in the first column, which will take the user to the detail record for the selected row.

Sales Invoices Tab

This tab displays a detailed list of all approved Sales Order Invoice Lines for the Project. The list contains the Type (Transaction Type), Invoice Number, Invoice Line, Invoice Date, Product, Sales UOM (UOM Code), Quantity, Price, Total (Extended (for Reporting)), and Total (Home) (Extended Amount Discounted – Home Curr). Each detail line has a ‘View’ link in the first column, which will take the user to the detail record for the selected row.

Forecasts Tab

This tab displays a detailed list of all Forecast Orders for the Project. The list contains the Item Number of each Forecast Order (Item No), Forecast Order Number (Order No), Start Date of the Forecast period (Start Date), Ending Date of the Forecast period (End Date), Forecast Quantity (Quantity), and status of the Forecast Order (Status). Each detail line has both ‘Edit’ and ‘View’ links in the first column, which will take the user to the detail requisition record, either in View or Edit mode, for the selected row.

Inventory Txns Tab

This tab displays a detailed list of all Inventory Cost Transactions for the Project. The list contains the Date and Time of each transaction (Date/Time), the transaction type of each transaction (Type), the Item Number of each transaction (Item No), the transaction quantity of each transaction (Quantity), the quantity impact of each transaction (Qty Impact), the Unit Cost of each transaction (Unit Cost), the Manufacturing account stamped as the Debit Account of each transaction (Debit Acct), and the Manufacturing account stamped as the Credit Account of each transaction (Credit Acct). Each detail line has both ‘Edit’ and ‘View’ links in the first column, which will take the user to the detail transaction record for the selected row.

Labor Txns Tab

This tab displays a detailed list of all Labor Transactions for the Project. The list contains the Date and Time of each transaction (Date/Time), the employee number recorded on each transaction (Employee), the Work Center charged on each transaction (Work Center), the work order number recorded on each transaction (Order), an optional comments field on each transaction (Comments), the hours booked on each transaction (Hours), and the total costs of each transaction (Cost). Each detail line has both ‘Edit’ and ‘View’ links in the first column, which will take the user to the detail transaction record for the selected row.

Notes & Attachments Tab

This tab displays notes and/or attachments for reference. Notes are text entered and stored by the user. Attachments are external files attached and stored here for reference. The New Note button opens a window where the Note Detail can be keyed in or entered using standard copy/paste functionality. The Attach File button opens a browser window for users to browse to the file they wish to attach.

Once a Note has been entered or an Attachment has been selected, they will appear in the grid on the lower part of the tab.
