Revision Based Inventory

Overview

Rootstock supports a single Engineering Item Master that is the parent (or “master”) to multiple Inventory Revision Engineering Item records (all with the same Item Number), each representing a Revision of the Item which can be manufactured or purchased, costed, sold as an individual entity and may be carried on a bill-of-material (BOM) or have their own BOM. The Revision is part of the item’s Name field and will be visible throughout the product wherever an item is referenced.
 
Prerequisites

 
  • Centralized Engineering may not be used when utilizing the Revision Based Inventory feature.
  • Engineering Change Control (ECO) cannot be active.
  • Engineering Revision must be active.
  • Engineering Revision format must be ‘Alpha-Numeric’.
  • A Revision Master Item (the controlling entity for a given Revision Based Inventory Engineering Item) cannot have its own BOM, nor can it be a component of a BOM.
  • A Revision Master Item must not be ‘Active’ (must remain at ‘Pending’).
  • A Revision Master Item cannot have its Revision ‘Implemented’ (must remain at ‘Pending’ or ‘Released').
Terminology
 
Inventory Revision Master Item: The “master” item used for controlling revisions of said item. Each revision to the “master” item will result in a new Inventory Revision Engineering Item (and Inventory Item and PO Item as appropriate upon implementation of the revision).

Inventory Revision Engineering Item: The non-Master version of the Revision Based Inventory Item that is the item inventory is tracked against.

Multi-Revision Product: The Rootstock Product associated with the Revision Based Item. This Product will carry a “child” Product Inventory Item record (SOPICITEM) for each revision of the given Inventory Item.

Selectable Associated Inventory Item: This indicator, when checked, denotes that this Product is based on Revision Based Inventory Items and that multiple Inventory Items can be associated with it. When checked, an 'Inventory Items' tab will appear that contains 'Product Inventory Items' that may be selected from in SO Entry.

Setup

1. System Configuration (SYCONFG): This must be set by Rootstock

Check ‘Revision Controlled Inventory Active’ field (set to TRUE)

Centralized Engineering Indicator: Must be unchecked (Centralized Engineering does not support this feature)   

User-added image  NOTE There can be NO companies in an org using this feature that are set with a Centralized Engineering Division.

Eng Revision Active: Must be checked to use this feature.

Eng Revision Format: Set to ‘Alpha-Numeric’ (required in order to use this feature)

ECO Active: Must be unchecked to use this feature

First Inventory Revision: Set to user-defined alpha-numeric value to be used as the “starting revision” for a given Item.  Subsequent revisions are user-defined.

Default Product Group:  Set to the Product Group that will be used when adding “Multi-Revision” Products.

Item Creation/Revision Processing
 
1. Create “Inventory Revision Master Item” (a type of Engineering Item Master)
 
Navigation

Mfg Engineering > Engineering Item Master > New Engineering Item Master button (on list view)
  1. Enter ‘Item Number’, ‘Item Description’, select ‘Commodity Code’ and override any applicable settings from Commodity Code selected.
  2. Set ‘Status’ = Pending
  3. Check the checkbox for ‘Inventory Revision Master Item
  4. Save record
2. When the record is saved, an Engineering Revision, using the value assigned to ‘First Inventory Revision’ on Division Master, is created for the Inventory Revision Master Item.
 
  1. At the same time, another Engineering Item Master (the “Inventory Revision Engineering Item”) was created for use for the counterpart to be used for Manufacturing purposes (as opposed to the Revision Master; a “normal” Engineering Item, with corresponding Inventory and Purchasing Items). 
User-added image  NOTE The Item Master’s ‘Name’ field is different for the two items just created.

       b. From the ‘Inventory Revision Master Item’, go to the Revisions tab and click on Edit on the latest Revision. 

 
  • Change ‘Revision Status’ from “Pending” to “Implemented”. 
  • This will set this new Engineering Item’s Status to “Active” and will spawn the creation of the Inventory Item Master (and Purchasing Item Master if appropriate). 
  • These subsequent records are added upon merely changing the Revision Status to “Implemented”.
This Inventory Revision Engineering Item (the non-Master version of the Item) version of the Engineering Item Master does not have a ‘Revisions’ tab as you would normally expect as all revisions are done using the Revision record for the “Inventory Revision Master Item”, the controlling entity.

3. Revisions to “Inventory Revision Master Item”

 
  • When the item is to be revised, navigate to the Inventory Revision Master Item record > Revisions tab
    • Click on the ‘Add Revision’ link in top left corner under the tab.
Enter ‘Revision No’ and ‘Description’, set ‘Start Date’ (aka Effective Date) and select ‘Revision Status’.
 
  • If a BOM was created for an Inventory Revision Engineering Item (the non-Master version of the Item) spawned from the “Master” Item, select the appropriate Revision record for that item and when this record is saved and the ‘Revision Status’ = Implemented, the BOM will copy to the new “Inventory” version of the item that this Revision is creating.
BOM Maintenance

A bill-of-material (BOM) can be created for the Inventory Revision Engineering Item (the “non-Master”). 

User-added image  NOTE The ‘Add Revision’ and ‘Delete Revision’ are disabled for “revision-based” items.
  • if a component is to be phased-out and another phased-in, this should be done by making a new Revision from the “Master” item, copying the BOM from the prior Rev, using the ‘Source for Initial BOM’ dropdown as described in 3 above. 
  • Once this is done, BOM maintenance can be done against the new BOM, deleting components being phased-out and adding components being phased-in.
Product Creation
 
  • If the item is to become a Rootstock Product, when adding the “Inventory Revision Master Item”, check ‘Create Multi-Revision Product’ checkbox prior to saving the record.
  • When the “Inventory Revision Master Item’s” Revision is implemented and the “Inventory Revision Engineering Item” is created, it will reflect this same field as checked.
  • When the “Inventory Revision” is implemented, along with the other Item Masters added (as described above), a Rootstock Product Master will be created (along with the SF Product) in the item’s Division, using the SO Control’s ‘Default Product Group’.

  • Subsequent revisions will cause additional Product Inventory Items to be automatically added to the given Product. 
Sales Order Processing
  1. Follow the normal procedure for adding a Sales Order Header. 
  2. When adding a SO Line for a Revision Based Inventory Product, upon entering the given Product Number, note the “blue dot” adjacent to the Product Number. 
Click on the blue dot to bring up a popup from which the Inventory revision item can be selected.

 User-added image  IMPORTANT The Revision Based Inventory Item MUST be selected in Add mode – once saved, it cannot be changed (line would need to be deleted and re-added).

User-added image  NOTE Upon saving the SO Line, the Inventory Revision is displayed adjacent to the Product field, and is also displayed under SO Line > Additional > Inventory Settings > Inventory Item.

Once the Sales Order/SO Lines are added, use the normal SO Fulfillment process to fulfill said order.
