The Credit Tab provides the Customer credit limits, status, and related tax considerations.  It also provides the ability to manually place the customer on hold and take them off hold.

Fields
 

Unbilled Order Limit:  The Total Unbilled Order Limit available to this Customer. Unbilled Orders include any Sales Order Lines that are at least at Firm status and are not included in an Approved Invoice. Sales Order Lines not yet Firmed are not included.

Current Unbilled Orders:  The Customer’s total amount of current Unbilled Orders, calculated as the sum of Sales Order Lines for a given Customer Master that are at least at a Firmed status and that, if included in an SO Invoice, the Invoice is not yet Approved.

Credit Limit:  The Credit Limit assigned to this Customer. Credit Limit and Unbilled Order Limit are compared with Current Unbilled Orders and/or Current A/R Balance to determine when a Customer's orders should be placed on Credit Hold, based on the SO Control Credit Check Option.

Current AR Balance:  Sum of SO Invoice Lines for a given Customer Master that has been posted but not yet matched with a Payment. The maintenance of this value is different depending on which Financial Implementation is in use. See SO Control Credit, Charges & Commissions Tab for details.


NOTE image.png  NOTE  In Finance, this field 'Current AR Balance' carries the sum of the SO Invoice Lines, Debit Memos, and Credit Memos for a given Customer Master.

EXAMPLE image.png  EXAMPLE  Consider Customer 'A' has a Sales Order Invoice Line costing '25', a Debit Memo of '50', and a Credit Memo of '100'. So the 'Current AR Balance' will be '-25' [i.e., 25+50+(-100)].


VAT Identifier:  Value Added Tax Identifier.

Customer Tax Identification Number:  This field holds the Tax Identification supplied by this customer for such purposes as noting Intra-EU Community transactions.

Bypass the Unbilled Order Amount Update:  When enabled, this field causes the system to bypass the update of the Unbilled Order Amount for this customer (incremented on the order add and decremented on the invoice).

Resale Certificate:  Holds the resale certificate ID.  This field must be set if the Customer is to be tax-exempt. There is no validation on the field other than it cannot be blank if 'Tax Exempt (Resale)' is checked.

Tax Exempt (Resale):  When checked, a Resale Certificate is mandatory for this customer. If unchecked, a Resale Certificate is optional. When tax-exempt, no tax will be calculated for Sales Order Lines when invoiced.

Credit Hold:  When checked, the Customer is on credit hold. This field can be checked to force the Customer on credit hold rather than using the system-calculated credit hold process based on credit limits. Once this field is manually set, the Customer will remain on credit hold until this field is manually cleared. When a Customer Order puts the Customer over their credit limit, the NEXT order is flagged as being on Credit Hold on the Sales Order Header. This Credit Hold flag on the Customer Master is always set manually.

Manual Hold:  If checked, orders for this Customer can not be processed. This should be used when needing to place a Customer on hold for something other than Credit-related issues.

Prepay Only:  When checked, the Customer must have an existing Prepayment that covers the amount of a Sales Order before said Sales Order can ship. The Prepayment Invoice must be Transferred to Invoice and Paid, which will write back to the 'Cash Received' field on the Invoice, releasing the Sales Order for fulfillment.

Inactive:  When checked, the Customer is inactive and cannot be used when creating RS Quotes or Sales Orders. Inactive Customers will not appear in Customer dropdowns or auto-complete fields.

Avalara Entity Use Code:  This field is used to identify a reason for the exemption in Avalara AvaTax calculations. Options are:

  • A - Federal government (US only)

  • B - State government

  • C - Tribal government

  • D - Foreign diplomat

  • E - Charitable organization

  • F - Religious organization

  • G - Resale

  • H - Agricultural production

  • I - Industrial production or manufacturers

  • J - Direct pay permit

  • K - Direct mail

  • L - Other or custom

  • M - Educational organization

  • N - Local government (US only)

  • P - Commercial aquaculture (Canada only)

  • Q - Commercial fishery (Canada only)

  • R - Non-resident (Canada only)


  NOTE  When Avalara is installed on the ORG, go to the Customer Master in Edit mode. Look to the bottom right to find the settings in the Credit section.
