QuickBooks Chart of Accounts Import into Rootstock
This process will upload the QuickBooks Chart of Accounts to a Rootstock object for the purpose of mapping Manufacturing (MFG) Accounts in Rootstock to the Chart of Accounts in QuickBooks. This process only needs to be completed once for the Salesforce Org and consists of a 3-steps.
- Export your QuickBooks Chart of Accounts
The following reflects the use of QuickBooks Pro 2012 and therefore, though the steps should be similar they may vary depending upon the version of QuickBooks you have installed (please refer to the documentation for your specific version of QuickBooks).
- In QuickBooks -> Go to Files - > Utilities -> Export -> Lists to IIF Files -> Select checkbox for 'Chart of Accounts' -> Select 'OK' button -> rename from defaulted file name (*.IIF file) to file name of your choice and select Folder location to save -> Select 'Save' button.
- Import QuickBooks Chart of Accounts IIF file into Rootstock
This function will read data from the QuickBooks IIF file and create the QuickBooks Chart of Accounts (SYQBCOA) data in Rootstock.
- In Rootstock -> Go to the 'QuickBooks Financials' functional section on the Rootstock Menu -> select and launch the 'Chart of Accounts Import' function -> select the 'Choose File' button -> locate and 'double-click' on the QuickBooks IIF file created in Step 1 above -> select the 'Import' button.
- Once complete the system will return a message containing a record count of the number of accounts inserted, updated and/or failed.
- Link Manufacturing Accounts to the appropriate QuickBooks GL Account
In order to properly record the Rootstock manufacturing transactions onto your General Ledger maintained in QuickBooks, each Manufacturing Account created in Rootstock must be linked to a valid QuickBooks General Ledger Account.
- In Rootstock -> Go to the 'System Setup' functional section on the Rootstock Menu -> select and launch the 'Mfg Accounts' function -> from the resulting List View, select (in 'Edit' Mode) a Mfg Account -> on the 'QuickBooks GL Account' field, select from the GL Account values on the 'drop-down' list the corresponding GL Account to link to the selected Mfg Account -> select 'Save' button -> repeat for each Mfg Account on the List View.
